  • Position Description

    XLA is looking for an Administrative Fiscal Assistant to work onsite at a federal agency located in Arlington, VA (metro accessible). The Administrative Assistant will be responsible for:

     

    • Assisting in the preparation of presentation materials
    • Providing general office, research, administrative, and clerical support, word processing, document preparation/management, and file maintenance, as required
    • Managing calendars, scheduling meetings, and setting up conference rooms/conferences, as necessary
    • Maintaining confidentiality of information
    • Canceling and/or rescheduling commitments as required by higher priority demands or special commitments
    • Working effectively with personnel from other branches and divisions
    • Tracking documents through various approval processes within the agency as each relates to its respective policies, practices, and procedures
    • Ordering, distributing, and maintaining office supplies and equipment
    • Answering incoming phone calls, receive packages, greet and direct visitors to appropriate points of contact
    • Attend meetings and prepare document minutes to be distributed to key personnel
    • Other duties as assigned.
    • Reviews execution documents (including, Obligation, Payment De-obligation, reconciliation of UDO and Purchase card transactions) in UFMS and reports using FIRST.
    • Ensures financial transactions in UFMS are supported with the proper documentation and is in accordance with policy and internal control practices.
    • Conducts studies, gathering and analyzing financial data, to improve the accumulation, processing, and reporting.
    • Performs budget planning and related execution tasks, analyzes SID program requirements, and makes recommendations on the allocation and execution of funds.
    • Conducts budget evaluations; prepares and issues time-phased schedules; prepares coordinating papers/procurement plans/procedures; integrates plans used in managing the acquisition process.
    • Develops and implements financial management plans, procedures, and programs to facilitate the effective, efficient, and timely application of financial resources to facilitate accomplishment of the DEA SI Diversion mission.

    Requirements

    Qualifications:

    • Ability to communicate effectively, in both verbal and writing
    • Ability to perform multiple tasks and prioritize responsibilities in a dynamic, fast paced working environment
    • Ability to read and interpret management policy, regulations, and directives
    • Experience with UFMS strongly desired
    • Proficiency in Microsoft Office Products including MS Word, Access, Excel, and PowerPoint
    • Good organizational and leadership skills
    • Ability to work effectively within a group or independently
    • Functional knowledge of contemporary office machines (i.e., photocopier, fax machine, and scanner)
    • Ability to quickly acquire familiarity with policies and regulations
    • Must have experience answering phones
    • Experience working with Executives/Directors is desired, but not required

    Education Requirements:  HS Diploma and four years of experience 

     

    Clearance Requirement: Must be able to obtain and maintain a US Government security clearance.
